Terms of use
The app
CodeScribe EMS is a documentation aid for trained emergency responders and students in EMS programs. It records what you tap and when, and writes it up. It is not clinical decision support: it never tells you what to give, when to give it, or whether to stop, and it has no alarms. Your protocols and your medical direction decide the care. You are responsible for checking every entry before it goes into an official record, and the app says so on the screen where you export.
The app is sold through the App Store under Apple's standard licence terms. Records you create belong to you and your service and stay on your device.
Department and training-program accounts
A department (or a training program) can hold an account that lets its officers publish a protocol to members' phones and receive summaries of codes, as described on the departments page and in the privacy policy. The officer who sets up the account confirms they are authorised to do so for that department.
A pilot is free for the period we agree, usually 60 days for a department or one term for a program, and can be ended by either side at any time by email. After a pilot, a department licence is an annual subscription at the price we agree in writing; it renews each year unless cancelled before the renewal date, and it can be cancelled at any time for the end of the current period. Departments and programs that stay on after a pilot keep their starting price for three years from their first paid period; after that, any price change is announced at least 60 days before a renewal.
Payment is handled by Stripe. We refund in full within 30 days of a first payment if the department decides it is not for them, no questions asked. After that, cancellations take effect at the end of the paid period.
When a licence lapses, members' phones keep working as the standalone app, keep every record, and keep the last protocol. The department's data stays with us for twelve months so a renewal picks up where it left off, then is deleted. A department can ask for deletion sooner.
What we promise and what we don't
We run the service carefully, test the access rules on every change, and tell affected officers within 72 hours of confirming a breach. We don't promise the service will never be unavailable: a code never depends on it, because scribing works with no connection and summaries wait on the phone until it is back.
The app and service are provided as they are. To the extent the law allows, we are not liable for indirect losses, and our total liability to a department is limited to what that department paid us in the twelve months before the claim. Nothing here limits liability where the law doesn't allow it to be limited.
Acceptable use
Don't put patient identifiers in the app's notes fields or in any email to us. Don't share a department join code outside the department. Don't try to reach another department's data; the database won't let you, and we'd rather you didn't try.
Changes and law
If these terms change, the new version is posted here with a new date, and officers of active departments are told by email before a change that affects them. These terms are governed by the law of the Commonwealth of Virginia, United States.
